No, True Events is a specialized technical labor and floor management company — we do not rent equipment. Instead, our certified technicians step in to manage, operate, test, troubleshoot, and run the AV equipment provided by your venue (e.g. Encore / in-house AV), your main stage production company, or your preferred rental vendor.
How do your technicians work with in-house AV teams (e.g. Encore / PSAV)? +
Our Senior Technical Directors manage all coordination with in-house AV providers and venue labor. In-house AV supplies the hardware drops, and True Events provides the dedicated room operators who interface with speakers, run the mixers/switchers, and guarantee error-free breakout sessions.
How do you handle last-minute presenter slide updates right before a session? +
Our Speaker Ready Room operates a dedicated local Gigabit presentation network. Speakers can submit slide deck revisions up to 10 minutes prior to session start. Slides are stress-tested for aspect ratio, fonts, and video links before being pushed directly to the specific room technician's laptop desk.
How do you manage venue union rules at MBCC Miami and OCCC Orlando? +

Yes. All True Events crew members sign binding Non-Disclosure Agreements (NDAs). We utilize encrypted flash drives, secure local networks disconnected from public internet, and perform mandatory local drive wipes at the conclusion of every event.

Privacy Policy & Data Protection

1. Overview & Scope

True Events (a subsidiary of J1 VISIONS LLC) is committed to protecting the privacy of corporate event planners, conference organizers, speakers, and technical partners. This Privacy Policy details how we handle information submitted through our website and on-site event operations.

2. RFP & Contact Data Collection

Information collected via our Request for Proposal (RFP) forms (such as contact name, corporate email, phone number, and event details) is used solely for project scope evaluation, contract creation, and technical crewing communication.

3. Speaker Presentation & Asset Protection

All presentation slide decks, media files, and speaker assets uploaded to our Speaker Ready Station or delivered to breakout room technicians are used strictly for event execution. Presentation files are stored on isolated, non-public Gigabit networks and are permanently purged from all staging hardware within 24 hours of show conclusion.

4. Zero Third-Party Data Sharing

True Events does not sell, rent, trade, or share client or attendee data with any third-party marketing brokers or external organizations.

Terms of Service & Labor Agreement

1. Technical Labor Scope

True Events (J1 VISIONS LLC) provides specialized technical labor, room operators, A1 audio engineers, V1 video switchers, and floor management services for corporate breakouts. True Events does not provide AV hardware rentals or equipment sales.

2. Multi-Vendor Equipment Operation

Client agrees that True Events technicians will manage and operate AV equipment supplied by the venue (in-house AV / Encore), client-owned rigs, or designated third-party AV rental vendors. Client remains responsible for venue power drop orders, rigging permits, and underlying hardware rental contracts.

3. Insurance & Liability Limits

True Events maintains $5,000,000 Commercial General Liability insurance and active Workers' Compensation. Certificate of Insurance (COI) naming venue facilities as additional insured will be issued upon formal contract execution.

4. Crew Cancellation & Schedule Terms

Labor commitments are scheduled upon contract signature. Cancellation of technical crew within 14 business days of scheduled load-in may be subject to labor commitment fees as outlined in formal proposal agreements.

5. Governing Law

These Terms of Service are governed by the laws of the State of Florida. Legal entity: J1 VISIONS LLC.

Security & NDA Compliance Protocol

1. Binding Staff NDAs

All True Events technical directors, room leads, and crew members operate under signed, binding Non-Disclosure Agreements (NDAs). We treat all pre-released keynote presentations, corporate financial earnings slides, and product announcements with enterprise-grade confidentiality.

2. Air-Gapped Local Presentation Networks

Speaker Ready Stations and breakout technician control desks communicate over encrypted local Gigabit networks disconnected from public internet lines to prevent unauthorized remote access, leaks, or data interception.

3. Physical Access Control

Physical access to Speaker Ready Stations and technical command booths is strictly restricted to credentialed speakers, authorized event planners, and True Events room leads.

4. Automated Post-Show Drive Purge

Following show teardown, automated drive sanitization scripts are executed across all staging laptops and switchers, ensuring total destruction of transient presentation decks and media assets.
